Introducing Genius IDP

This one’s a straight product demo, and it’s better for it. Dave Demers, Genius’s Director of Customer Success, walks through Genius IDP (Intelligent Document Processing) — a newer add-on to the ERP that reads, processes, and archives the paper that still runs through most manufacturing shops. He grounds the pitch in real numbers before touching the product: a cited study finding 60% of jobs could automate at least 30% of their tasks, a projected 15% productivity gain from doing so, and a demographic reality where a shrinking pool of working-age people will need to replace a growing share of retiring senior workers — making automation less of a nice-to-have and more of a necessity. The live demo focuses on the flagship use case, payables automation: uploading a vendor invoice, watching OCR extract the invoice and PO numbers automatically, hitting an intentional review checkpoint, and then watching the system flag a genuine 36-cent rounding discrepancy against what was actually received — at which point Dave comments on it, reassigns it to a purchaser, stamps it as approved, and pushes it through to Genius ERP. He’s upfront that this kind of one-step discrepancy review is really all that’s left once you automate the other 60-80% of documents that flow through with no issues at all. IDP breaks down into three words: “Intelligent” (AI and OCR read a PDF or document and extract its data, much like a person would); “Document” (paper coming into the shop gets processed automatically, then stored, indexed, and archived for later retrieval); and “Processing” (the tool is a workflow platform for automation — Dave frames it as roughly 80% of document handling being automatable, with about 20% still needing manual input or exception handling).

Citing a recent article, Dave notes that 60% of jobs could automate at least 30% of their tasks (since that much of most jobs is repetitive), with automation potentially raising productivity by around 15% globally and U.S. GDP by roughly 7%. Walking through typical manufacturing departments — sales, engineering, purchasing, production, accounting, and more — Dave points to at least one paper-heavy document per department: printed quotes, contract reviews, drawings sent to the shop, printed task/priority lists, purchase orders, bills of lading, invoices, and more.

Chapter 6 — Use Case: Invoice Processing

Payables automation is presented as the flagship use case. In a typical manual process, invoices arrive by email, get opened and entered one by one, and go through a three-way match against receiving and the PO — with a discrepancy showing up 20-30% of the time, requiring back-and-forth with a purchaser that often gets lost among a crowded inbox (Dave’s example: one relevant email out of 125). Around 350 payables a month is cited as a practical trigger point for justifying the tool, though it’s worth the conversation even below that.

Chapter 7 — Demonstration of Genius IDP Workflow

In a live demo, Dave uploads a vendor invoice PDF into his Genius IDP “basket.” The system automatically classifies the document type and OCR-reads key fields (invoice number, PO number) as extracted metadata, pausing at an intentional review checkpoint. After correcting a PO number and marking it “OCR corrected,” the document advances through the workflow — and Dave shows an admin view of all in-transit documents across the team, not just his own basket. The workflow then flags a genuine 36-cent discrepancy between the invoiced amount and what Genius ERP shows was actually received, since Genius IDP checks back with the ERP automatically. Dave demonstrates commenting on the discrepancy, reassigning the document to a purchaser (with an automatic email notification), annotating and “stamping” the document itself (creating a new version in the process), and finally accepting the discrepancy — which pushes the finished invoice into Genius ERP, confirmed by checking the ERP directly. Roughly 60-80% of documents flow through with zero manual intervention; the rest typically need just this kind of one-step discrepancy review.

Chapter 8 — Document Storage and Retrieval

Dave demos three ways to find a processed document: advanced search by category or vendor, a quick search by a known value (like a PO number), and full-text search across the actual document content — finding a string anywhere in the PDF, even if it was never tagged as structured metadata. He also shows document versioning (the original version is always preserved, with a new version created each time an annotation or stamp is added) and a full operation/audit history log showing every transition and who acted on the document. Related capabilities mentioned but not fully demoed: automatically linking a scanned packing slip to its matching invoice, and pre-filtering vendor statements against what’s actually been received to catch premature payment requests. The same workflow approach extends beyond payables to sales order entry, work order management, and MTR processing.

Chapter 9 — Conclusion and Q&A Session

Dave frames payables automation as just the easiest-to-justify first use case, pointing attendees to customer success or his own email for more information. In live Q&A: Genius IDP handles both receiving-matched invoices (three-way match) and direct invoices, just through different workflows; features can be adopted selectively — for instance, just for receiving documentation or centralized storage, without full AP/AR automation — since the real value depends on whether automation or centralized, auto-indexed storage matters more to a given business; it doesn’t require a dedicated mailbox (it reads whatever inbox it’s pointed to, marking recognized documents as read and leaving others untouched), though a centralized mailbox is the recommended best practice over a personal inbox; expense GL account templates can be defined for direct invoices, configurable at the template level or even per line item; and documents are stored in Genius IDP’s own database and file system — not inside the Genius ERP database, and not as a SharePoint link.
